Privacy Statement and Terms of Use of Personal Information

Legislative Decree N° 196 of 30 June 2003, (herein called “Code”) ensures that personal information is treated in the full respect of the rights, fundamental liberties and dignity of natural persons, with special reference to privacy and personal identity; it likewise protects the rights of legal entities or any other corporate body or association.
For these reasons, NORD EST Congressi s.r.l., with seat in Udine (UD), Via Portanuova n.3, as the Holder of rights to personal information management (herein called “Holder”) is bound to provide all customers, according to Art. 13 of the Code, with precise information on the use of their personal information.

1. PERSONAL INFORMATION COLLECTION
The personal information directly provided by the customers through registration forms or otherwise communicated will be treated in full compliance with the above-mentioned regulation and the related privacy obligations.
The customers accept full responsibility for the truthfulness of the personal information they supply.

2. AIMS OF PERSONAL INFORMATION PROCESSING
Personal information will exclusively be processed to achieve the statutory aims and, in particular:
a) preliminary requirements in drawing up contracts;
b) compliance with the obligations envisaged in contracts (management of customer relations, providing the services offered, hotel reservations, management of supplies and communications, etc.);
c) congress organization, including other operative and management requirements (cf. presentation of the financial statement);
d) compliance with the law obligations (administrative and tax burdens, formative credits, etc.);
e) carrying out statistical surveys or assessing customer satisfaction
f) sending marketing information on new initiatives by NORD EST Congressi s.r.l.;
g) sending out periodic e-mails concerning promotional material and initiatives, internal notices and marketing information.
The personal information involved in the above-listed aims mainly concerns name, mailing addresses, telephone numbers, and e-mail addresses.

3. PROCESSING OF PERSONAL INFORMATION
Processing of personal information includes collecting, recording, storing and modifying personal information through manual and computerised systems strictly according to the aims of personal information processing and, in any case, in such a way as to ensure information security and privacy.
Data may be treated in collaboration with especially appointed responsible data processing contractors.

4. SUPPLY OF PERSONAL INFORMATION
The supply of personal information is facultative. However, failure to supply the data required in fields marked with an asterisk may determine the voidness, nullity, or nullification of relations or the impossibility for NORD EST Congressi s.r.l. to proceed to the full supply of the services offered.

5. DISCLOSURE OF CUSTOMER INFORMATION
Personal information will be available to partners, staff members and collaborators of NORD EST Congressi s.r.l., all of them duly appointed as responsible for treatment of personal information.
Personal information will not be sold but may by disclosed to achieve the above-listed aims to:
- third parties entitled by law to access data;
- credit, financial, insurance and auditing institutions;
- third parties carrying out functions related to contract fulfilment;
- data processing contractors;
- marketing firms.
Personal information will not be disclosed, unless required by law enforcement action.

6. INFORMATION SECURITY
Specific security procedures are observed to safeguard data and prevent the loss, illegal or incorrect use of data and unauthorized access: the necessary measures have been taken to protect personal information in compliance with the new regulations provided by Art. N° 33 and following articles of the Code and related Attachment B.

7. RIGHTS ENVISAGED IN ART. 7
The Holder of rights to personal information management NORD EST Congressi s.r.l., as defined above, is to be addressed by customers to assert their rights as envisaged in Art. 7 of the Code, whose unabridged text is hereafter quoted:

Art. 7 Rights of access to personal information and other rights
1. The interested party or customer has the right to obtain acknowledgement of the existence of his/her personal information, even though such information has not been recorded yet, and of its communication in intelligible form.
2. The interested party or customer has the right to know:
a) the source of personal information;
b) the aims and modalities of processing;
c) the procedure followed in the case of computerized processing of information;
d) the personal details of the holder of rights, persons in charge and appointed representative according to Art. 5, paragraph 2;
e) the third parties or categories of third parties to whom his/her personal information may be disclosed or who may access his/her personal information as appointed representatives in the State, or responsible persons or appointed persons.
3. The interested party or customer has the right to request:
a) the up-dating or correction or, when required, the integration of his/her personal data;
b) the deletion, the change to anonymity or the full block of his/her personal information should the law be infringed, including the information whose storage is not required in relation to the aims for which it was collected or subsequently processed;
c) the declaration that all those to whom information has been disclosed have been informed of the procedures illustrated in paragraphs a) and b) above, also regarding their content, except for the case in which such fulfilment is impossible or requires a clearly excessive use of means with respect to the right protected.
4. The interested party or customer has a right to object fully or partly:
a) to the processing of his/her personal information for legitimate reasons, even though such information is consistent with the aims of information collection;
b) to the use of his/her personal information to receive promotional or selling advertisements or to the carrying-out of marketing surveys.
